Entropia by Ventana Digital

AI process design for U.S. small and mid-size companies

AI that fits how your company works.

We map how your business runs, find where AI saves time or wins accounts, then set up the tools and train your team. It starts with a 4-week design sprint.

The problem

Generic AI tools don't fit how your company works.

Many companies try AI on their own, in one of two ways. They buy a general tool that nobody adapts to how the work gets done. Or they ask one person to build something alone. Either way, the tool doesn't fit, and the team stops using it.

The difference is fit. We learn how your company works first. Then we choose the tool.

67%[S1]

With a specialized partner, companies reached deployment about 67% of the time.

33%[S1]

Built internally, about 33% did.

Deployment means the tool went into daily use.

MIT NANDA, "The GenAI Divide: State of AI in Business 2025." Companies that worked with specialized partners reached deployment about 67% of the time; internal builds reached it about 33% of the time. Self-reported, interviews with 52 organizations, reported by Fortune.

How we work

Five steps. The same every time.

  1. Find.

We interview your team and review your real files. You get a list of problems and what each one costs.

  2. Choose.

We test what already exists first. Training or an existing tool comes before any build.

  3. Set up.

We connect the tools to how you work and set security rules. We build only what nothing on the market solves. You approve each build's scope and size in writing first.

  4. Train.

Every build comes with a walkthrough video, a one-page guide and a live session.

  5. Measure.

A weekly update and a monthly report on hours saved, what shipped and what is next. Each quarter you choose the next area.

Our work

Start here

The design sprint.

One area of your business per sprint, for example marketing and sales. We map how it works, find what costs you time or accounts, and give you a ranked plan.

$5,000

4 weeksfixed price
  • Week 1.

Kickoff with the owners, 2 hours. We agree who we interview, which files we review and which tools you use.

  • Weeks 1 and 2.

Up to 10 interviews of 45 minutes, with owners and managers, then the people doing the work. We review real records: lead lists, bids won and lost, contracts, website and ad data, reports. A 45-minute preliminary findings session at the end of week 2.

  • Week 3.

The process map and the opportunity matrix.

  • Week 4.

A 90-minute review with the owners to check and reorder the list. Then a 90-minute final presentation.

The 7 deliverables

  1. The written report, print-ready.

  2. The process map: every step, who does it, which tool, how long it takes. Steps that lose time, money or accounts are marked.

  3. The evidence log: every finding tied to the interview or file it came from.

  4. The opportunity matrix: every fix ranked by value and effort.

  5. A one-page case for each of the top 3 fixes: how it works now, how it would work after, hours and dollars saved, and the math.

  6. A tool review: what your current tools cover, and what is missing.

  7. The 90-day roadmap: order of fixes, cost, owner, and what not to build.

  • Paid in full at signing.
  • The $5,000 counts as a deposit on month 1 of the Fractional AI Department if you continue.
  • The plan is yours whether or not you continue. The sprint does not commit you to anything after it.

What we need from you: the kickoff, the interviews, and access to your files and tools.

  • A quarterly results review against the baseline, where you choose the next area

Training your team keeps.

  • Every build ships with a walkthrough video under 10 minutes, a one-page guide, and a 60-minute live session with the people who will use it.
  • Monthly team sessions are 60 minutes, recorded, on one topic from your roadmap.
  • Option B office hours: 1 hour a week, open to anyone on your team.
  • A training library you keep: guides, videos and approved prompts in one shared folder, updated as tools change. It stays with you if you cancel.

The first 90 days start with the sprint. After that, month to month with 30 days' notice.

A 2-hour kickoff with the owners, up to 10 interviews of 45 minutes, access to your files, a 45-minute findings session and two 90-minute sessions in week 4.

Why don't you list prices for the AI Department and Digital Funnels?
